Quotation Terms and Conditions for Solar Flare Dynamics Ltd
Acceptance of Quotation
Upon accepting our quotation, your sales consultant will send you a confirmation email with a signature request. By signing, you confirm your agreement with the price stated in the order form.
Survey Coordination
Following confirmation, we will arrange a survey. A member of the Solar Flare Dynamics Ltd team will contact you to schedule a suitable date to visit your location for precise measurements. After the survey is completed, we will contact you to discuss any potential changes to the quotation if necessary.
Installation Scheduling
Once the survey is completed, our installation team will coordinate with you to set a convenient installation start date. Our goal is to complete installations within five business days. However, in some cases, an additional visit may be necessary, and we will aim to schedule it promptly.If scaffolding is required, a team member will contact you before the scheduled installation to arrange it. The scaffolding will remain for 7-10 days after installation to address any necessary follow-up maintenance.
Cooling Off Period
We typically do not begin work during the statutory ‘cooling off’ period unless you submit a completed Express Request Form. Should you request work during this period and later cancel, you will be responsible for covering any costs incurred up to that point for materials and work performed.
Costings and Quotation Adjustments
The quotation assumes a seamless installation process. Should unforeseen circumstances disrupt the installation, we will inform you and discuss the potential implications and delays.If you request changes to the installation after the cooling-off period, we will issue a revised quotation. Any changes requested after the work begins will result in an updated breakdown of associated costs. Once installation is complete, changes will incur additional charges.Unforeseen circumstances requiring remedial work (e.g., electrical or building repairs) will be discussed with you, and any costs will be agreed upon before proceeding.If ridge tiles need to be removed during installation, it is the customer’s responsibility to arrange for their replacement. Solar Flare Dynamics Ltd cannot be held liable for any damage during this period.
Validity of Quotation
Our quotation is valid for 30 days from the date of issue. The contract is formalized once you sign the order form and we confirm your order.The quotation includes a breakdown of proposed goods, services, and the total price, inclusive of VAT. While we provide guidance on necessary approvals or permissions, securing them remains your responsibility. Any costs associated with approvals are also your responsibility.
Product Images and Performance Estimates
Product images included in the quotation are for illustrative purposes. Actual products may vary in appearance, and no refunds will be issued for aesthetic differences. Panel discoloration can occur over time; replacements for discolored panels are not covered.Performance estimates are calculated in line with the relevant MCS Standard. Exclusions of specific services or equipment will be documented in the quotation upon request.
Price Match Guarantee
We offer a price match guarantee subject to the following conditions:
1. The competitor’s quote must be submitted as a complete, unaltered PDF.
2. The quote must be dated within the last 14 days.
3. Payment terms must match those of Solar Flare Dynamics Ltd.
Technical Information
Depth of Discharge (DOD):
1. Factory-set to 80% for extended battery lifespan.
2. Inverter Output (G98 Regulation): Solar inverters are limited to 3.68kW unless a G99 acceptance letter is provided.
3. Shading: Shading impacts panel performance. Optimizers can be installed to mitigate this issue.
4. Trickle Charge: Hybrid units require minimal AC power (~40W) during charging.
Planning Considerations and Building Control
If your property is in a conservation area, national park, or Area of Outstanding Natural Beauty, planning permission may be required. It is also necessary for listed buildings. Securing permissions is your responsibility.We assist in obtaining necessary permissions but cannot be held liable for installations proceeding without approval. No refunds will be provided if planning permissions are not secured.
Structural Integrity
In line with MCS guidelines, if there are concerns regarding the building’s structural soundness, you should consult a structural engineer. Our suitability assessment is based solely on visual inspection. The responsibility to confirm the roof’s structural integrity rests with you.For flat roofs, the customer must ensure the roof’s load-bearing capacity and wind resistance are sufficient. Solar Flare Dynamics Ltd is not liable for issues arising from flat roof installations.
Installation Standards
Installations will be carried out in adherence to MCS Standards and HIES Code of Practice. We provide goods that are of satisfactory quality and fit for purpose, with relevant insurance coverage.During installation, normal utilities (e.g., water, electricity) must be available at no charge. Customers cannot use our equipment (e.g., ladders, scaffolding).If any quoted equipment is unavailable on installation day, a suitable alternative will be provided. Acceptance of alternatives is at the customer’s discretion.
Preparatory Work
If any preparatory work by you or a third party is incomplete and causes delays, you may incur additional charges.
Battery and Inverter Placement
Lithium-ion batteries may stop charging in cold conditions below 12.5°C. Placement should be considered carefully.
Documentation and Warranties
All warranties are provided by the manufacturer. Registration of warranties is your responsibility. A handover pack containing all relevant documentation will be provided within 14 days of payment.
Two Pole Isolator Requirement
Your energy supplier must fit a Two Pole Isolator before installation. Charges may apply, and appropriate bonding and earthing must be in place.
Payment Terms
Full payment is required upon installation completion. Partial payments may apply for phased installations. It is the customer’s responsibility to secure bank details for payments.Payments cannot be withheld due to scaffolding delays or internet connectivity issues. Internet setup is an optional feature that is the customer’s responsibility.
Data Protection
We handle data in compliance with data protection regulations. Data will not be shared with third parties without your consent.
Guarantees
We will rectify any damage caused during installation at no additional cost. Manufacturer warranties cover products, and any faults within the warranty period will be repaired or replaced.
Insurance
Notify your home insurance provider about the installation to account for any premium adjustments. We maintain insurance to cover potential damages.
Additional Extras
Optional add-ons have no monetary value for refunds or discounts. If reinstallation is needed, a labour fee applies.
Internet Connectivity for Monitoring
The monitoring system requires a 2.4GHz WiFi connection. If the connection is weak, additional setup may be needed at the customer’s expense.
Smart Meter and Export Tariff
To be eligible for an export tariff, a functional SMETS 2 smart meter and WiFi connection are required. Arranging the smart meter installation is your responsibility.
Savings Projections
Projected savings figures are estimates based on current tariffs and may fluctuate. Monthly system checks are recommended.
EV Chargers and Firmware Updates
Notify us if you own an EV or specific charger models. Firmware updates may be necessary to ensure compatibility.
Scaffolding and Site Access
Scaffolding costs up to £400 are covered by Solar Flare Dynamics Ltd. Additional costs are discussed beforehand.
Survey and Revisit Charges
Cancellation after the survey incurs a £250 fee. Revisits not related to faults will incur a £250 charge.
Final Note
We will provide documentation for export tariff applications. Ensuring eligibility and completing the application is your responsibility.Please review the Terms and Conditions of your energy supplier and ensure that any required preparations are completed prior to installation.
